What we collect and why
We only collect what we need to assess you for a role or to answer a hiring brief.
| Who | What we collect | Why we use it | Lawful basis |
|---|---|---|---|
| Candidates | Name, email, phone number, country, CV, work history, skills, stack, expected pay, availability, portfolio or GitHub links | To assess you for the role you applied for and match you to similar roles | Your consent, and steps you asked us to take before a possible contract |
| Candidates | Coding assessment results | To test the skills the role needs and share the results with the hiring team | Your consent, given before you sit the assessment |
| Candidates | Interview notes and our recruiter's assessment | To decide who goes on a shortlist and to give you feedback | Our legitimate interest in running a fair selection process |
| Hiring companies | Contact name, work email, phone number, company name and the role brief | To prepare a shortlist, invoice and manage the placement | The contract with you, or steps before it |
| Site visitors | Your cookie choice and, only if you accept analytics, how pages are used | To remember your choice and improve the site | Your consent |
We do not ask for your ID number, race, health, religion, criminal record or other special personal information at application stage. If a hiring company needs a background check later, we ask for your separate written consent first and explain exactly what is checked.
How we use AI in screening
We use AI to read applications and rank them against the job description. A person makes every decision about you.
- AI compares your CV and application answers with the requirements in the job description and suggests a ranking.
- A recruiter reviews every ranking, including the applications the AI placed low, before anyone is shortlisted or turned down.
- No decision about you is made by automated processing alone. You can ask a recruiter to review your application again, and to explain the main reasons for the outcome.
- Coding assessments are scored by HackerRank. A recruiter reads the results alongside your application.
- We screen applications with Anthropic's Claude on a business plan, under terms that do not allow your information to be used to train its models. Manus is used only for work that does not include candidates' CVs or contact details.
Who we share it with
We share candidate information only with the people who need it to fill the role. We never sell it.
| Who | What they get | Why |
|---|---|---|
| The hiring company for the role you applied for | Your CV, test results and our notes, once you are shortlisted | So they can interview and hire |
| Airtable (United States) | Your application form answers and CV | We store applications in Airtable |
| HackerRank (United States) | Your name, email and test answers | To run and score the coding test |
| Anthropic (Claude) and Manus | Anthropic: your CV and application text. Manus: no candidate personal information | To rank applications against the job description |
Each of these providers is bound by a contract to keep your information confidential and secure, and to use it only for the service they give us.
Information sent outside South Africa. Some of these providers store data outside South Africa, including in the United States, and our candidates and hiring companies are in several countries. Under section 72 of POPIA we only send personal information abroad when the recipient is bound by law or a contract that protects it to a standard similar to POPIA, or when you consent. By applying, you agree to your application being shared with a hiring company in another country for the role you chose.
How long we keep it
We keep a candidate's application for 12 months after you apply, so we can consider you for similar roles, then delete it. Ask us at any time and we delete it sooner. If you are hired, your information moves to the hiring company's employee records under their own privacy notice. We keep hiring companies' records for as long as tax and company law require.
How we protect it
Only the recruiters working on a role can open its applications. Every account that holds candidate information (Airtable, HackerRank, Claude and our email) uses two-step sign-in. Our providers encrypt the information they store for us. Applications are deleted automatically when the 12-month retention period ends, and each provider is bound by a written agreement to protect what we share with them. If we find that your information has been accessed without permission, we tell you and the Information Regulator as POPIA requires.
Your rights
Under POPIA you have the right to:
- ask whether we hold information about you, and for a copy of it
- have it corrected or deleted
- object to how we use it, or withdraw your consent at any time
- ask a person to review any decision made about you
- complain to the Information Regulator
To use any of these rights, email Anzel Schutz, our Information Officer, at legal@amysa-web.com. We may ask you to confirm your identity first. Withdrawing consent does not affect anything we did with your information before you withdrew it, but it does mean we can no longer consider you for roles.
If you are not happy with our answer, you can complain to the Information Regulator:
